The Advancement Project

Project Overview/Summary

Background

The demand for more gift dollars is significant. Pledges have grown 68% since 1996, from $185 to $310 million annually. Gift support provides both operating capital and venture capital leverage for the University.

The supporting IT infrastructure has an aging technological base with tools developed in the 1980s. IDB and the Gifts system lack multi-dimensional and historical data. These systems cannot sufficiently support staff efforts to manage complex donor/alumni relationships and expectations, and the changing complexities of gift accounting, including pledge receivables. The current system configuration features an inadequate database structure, data flow and system integration.

Scope

The Advancement Project scope is to define and implement the self-service tools, data, supporting policies and procedures that will enable the University of Pennsylvania to significantly increase fundraising and support alumni, donor and membership programs. The proposed scope includes:

  • Biographic/Demographic Information Management
  • Corporate & Foundation Relations Management
  • Account/Fund Management
  • Gift & Pledge Receivables Processing
  • Planned Giving
  • Campaign Management
  • Project & Proposal Management
  • Prospect Management
  • Voluneer Management
  • Contact Center Management
  • Online Communities
  • Communication Management
  • Stewardship Management
  • Events Management
  • Membership Management
  • Workflow, Alerts, Reminders, Calendars
  • Document Management
  • Reporting
  • Training

The scope includes system installation, conversion of existing data and shadow data, interfaces, help functions and procedures, training, implementation of reporting tools, and conversion and creation of standard reports. The Advancement system must integrate with existing administrative systems and data stores, including the Business Enterprise Network (BEN), PennERA, SRS, Admissions, Ticketing, and WXPN.
